Privacy Policy
Last updated:
This Privacy Policy explains how Greenloom handles personal information when you visit our website, request a demo, subscribe to updates, or participate in our blog community. Greenloom is responsible for the purposes and means of processing information collected through these website activities.
Customer business data processed under a separate service agreement is also subject to that agreement and any applicable data-processing terms. This policy does not replace those terms.
Purpose and scope
This policy applies to website visitors in all countries. We describe the information we collect, why we use it, who may receive it, and the choices available to you. Please read this policy before submitting information. Visiting the website does not, by itself, constitute consent to optional marketing or other processing that requires your consent.
Personal information we collect
We collect information you provide and technical information needed to deliver and protect the website.
- Demo requests and enquiries: your name, company, work email, phone number and dialling code, team size, transaction volume, and the information you choose to share with us.
- Newsletter subscriptions: your email, chosen language, country context, subscription status, and the date you consented.
- Blog participation: your display name, comment or reply, associated article, submission date, and moderation status. Approved names and messages are visible publicly.
- Technical information: IP address, approximate country, browser and device information available in requests, and access or error logs processed by our hosting and security infrastructure.
- Author and staff accounts: profile information, authentication information, and editorial activity. Author names, biographies, photos and optional social links may be published on author pages.
How we use information
We use information to respond to enquiries, arrange demos, provide requested services, send requested updates, moderate comments, manage authorised accounts, and maintain the security and reliability of the website. We use country context and language preferences to display relevant content.
We also use information where necessary to meet applicable legal obligations, resolve disputes, and prevent fraud or misuse. Please do not submit bank credentials, payment-card details, confidential financial records, or another person's sensitive information through public comments or general enquiry forms.
Legal grounds and consent
Where applicable law requires a legal ground for processing, we rely on the ground appropriate to the activity, such as your consent, taking steps at your request before entering a contract, performing an agreement, complying with a legal obligation, or a lawful interest in operating and securing our website where that ground is permitted.
Where we rely on consent, you may withdraw it by contacting us. Withdrawal does not affect processing that was lawful before withdrawal. Declining optional marketing does not prevent you from browsing the website or asking about our services.
Who may receive information
Access is limited to authorised staff and service providers supporting the relevant activity. Our website uses hosting and network services, MongoDB database infrastructure, Cloudflare storage and delivery services, and email delivery services where configured. These providers may process information needed to perform their services.
We may also disclose information where legally required, to establish or defend legal claims, or as part of a business restructuring or transfer subject to applicable safeguards. Public comments and author profiles can be viewed, copied, and indexed by others. Do not include information in a public contribution that you wish to keep private.
AI-assisted editorial tools
Authorised staff can use AI tools to draft, translate and refine editorial content, import documents, and generate images. Material submitted for an AI task may be sent to OpenRouter and the model provider selected for that task. Optional research may involve search providers. Provider processing and retention depend on the service and model used.
Editorial source documents are kept separately from public article media. Generated content is reviewed and published through our editorial workflow. Public browsing, demo requests and comments do not automatically submit your information to these AI writing tools.
International processing
Our service providers may process information outside your country. The location depends on the service and its configuration. Where applicable law requires safeguards or conditions for an international transfer, those requirements apply. Contact us if you need information about the processing relevant to your enquiry or service agreement.
How long information is kept
Retention depends on the purpose: enquiries are kept while relevant to our communications and business relationship; subscription records support your subscription and preferences; comments remain while relevant to the discussion and moderation; and editorial files and revisions support content management. Legal obligations, dispute resolution, security needs and backup cycles may require longer retention.
You can request deletion or ask about a particular record. Deletion may be limited where retention is required by law or needed to establish or defend legal claims. Removal from active systems may precede removal from backups.
Protecting your information
We use access controls, authenticated staff accounts, private storage for unpublished material, and other technical and organisational measures appropriate to the website. No website, storage system or transmission method can guarantee absolute security. Contact us promptly if you believe your account or information has been compromised.
Your choices and rights
Depending on the law that applies to you, you may be entitled to request access to your information, a copy, correction, deletion, restriction of certain uses, or objection to processing, and to withdraw consent where processing relies on it. These rights may have conditions and exceptions.
Contact us using the address below and describe your request. We may ask for proportionate information to verify your identity and locate the relevant records. Do not send identity documents unless we request them through an appropriate channel. We will respond within the period required by applicable law.
Cookies and browser storage
The website uses functional cookies and browser storage. A country-preference cookie remembers a country you explicitly select for up to one year. Staff authentication and preview features use cookies to keep authorised sessions working, and staff editorial tools may use session storage to preserve unfinished work.
The public website uses Google Analytics 4 to measure page views and site usage. Google Analytics uses cookies and processes information such as page URLs, browser and device details, and interactions with the website. You can remove or block cookies using your browser settings; doing so may reset preferences or prevent sign-in and previews from working.
Communications and subscriptions
We use the details you submit to answer your enquiry and send communications you request. Newsletter signup requires your agreement to receive updates. You can ask us to stop marketing communications or change a subscription by contacting us; where an unsubscribe link is provided in a message, you may use it. Necessary service or security communications may continue where applicable.
Children
Greenloom is a business-oriented website and is not directed to children. We do not knowingly seek personal information from children. If you believe a child has provided information without appropriate authorisation, contact us so we can investigate and take appropriate action under applicable law.
Changes to this policy
We may update this policy to reflect changes in the website, our practices or applicable requirements. The date at the top shows the latest revision. Where a change requires additional notice or consent, we will take the steps required by applicable law.
Contact and complaints
For privacy questions, access or deletion requests, subscription changes, or concerns about our handling of information, contact us below. Please identify the relevant service or submission so we can help. You may also raise a complaint with the competent data-protection authority where applicable law gives you that right.
